Mindful Finance Solutions offers monthly bookkeeping packages, catch-up bookkeeping for businesses that have fallen behind, payroll bookkeeping support and reconciliation, and a range of add-on services including sales tax report preparation, additional account reconciliation, custom financial reports, and software setup or troubleshooting.
Monthly packages are available at three levels — Basic, Standard, and Premium — so you can start where you are and grow from there. If you’re not sure which service fits your situation, a free Discovery Call is a great place to start.

We work primarily with QuickBooks Online and are comfortable supporting clients through setup, catch-up, and ongoing use. If you’re currently using a different platform or aren’t sure which software is right for your business, we can walk through your options together and help you get set up in a way that actually makes sense for how you work.
-
We work with sole proprietors, freelancers, and small business owners of all kinds — whether you’re just getting started, growing quickly, catching up after a busy season, or simply ready to hand off the books you’ve been keeping yourself. If you want clarity in your finances without the overwhelm, you’re in the right place.
We’re a virtual bookkeeping practice serving small businesses across Pennsylvania and beyond. Most of our work happens remotely, so where you’re located is rarely a barrier — and you’ll always know who you’re working with and where your finances stand. That said, I’m glad to arrange in-person meetings for clients in western Pennsylvania when it makes sense.

Bookkeeping software is a tool — but it still needs someone who knows how to use it correctly, categorize transactions, and catch errors before they become problems. On its own, software won’t tell you whether your books are actually right.
Hiring in-house means a salary, payroll taxes, and benefits. Working with us gives you experienced, reliable support at a predictable monthly rate, without the overhead of an employee. You get a real person who knows your business, communicates clearly, and keeps your numbers accurate — for a fraction of the cost of hiring.

No — tax preparation and filing are outside the scope of what we do. Mindful Finance Solutions focuses on bookkeeping, financial recordkeeping, and keeping your books organized and accurate throughout the year.
What we can do is make sure your books are clean, categorized correctly, and ready to hand off to your CPA or tax professional at year-end, which often saves you money on tax prep fees. If you don’t have a CPA yet, we’re happy to point you in a helpful direction.
-
If your books are current and you just need someone to keep them that way each month, one of our monthly packages is likely the right fit. If you’ve fallen behind — even by a year or more — a catch-up service is where we’d start.
Not sure? That’s exactly what the free Discovery Call is for. We’ll talk through where your business is, what’s been keeping you up at night, and what kind of support would actually make your life easier. No pressure, no obligation.
-
Yes. New clients start with a free Discovery Call — a relaxed, roughly 20 to 30 minute conversation where we talk through where your business stands, what’s been weighing on you, and what kind of support would actually help. There’s no pressure and no obligation, and you’ll leave with a clear next step whether or not we end up working together.
You’ll also receive email and text reminders before the call.
-
Getting started is simple. Book a free Discovery Call so we can talk through your business, where things stand, and what kind of support would help most.
From there, if your books are current, we’ll recommend the package that fits and get you set up. If you’ve fallen behind or have a project to tackle, the next step is a Scoping Assessment, where we review your books and build a clear plan with a flat-rate quote. Either way, you’ll know exactly what to expect before anything begins.
-
It depends on which appointment you’re booking. For a free Discovery Call, all you need to do is fill out the short intake form when you book — it gives us a snapshot of your business so we can make the most of our time together. There’s nothing else to prepare.
For a Scoping Assessment, there’s an intake form as well — and if you’re able to upload a few documents ahead of time, such as recent statements or anything you’d like me to look at, it makes a real difference. It lets me review your situation beforehand and come to our appointment with questions already in hand, so our time together is focused and genuinely useful rather than spent gathering the basics.
You don’t need to organize or clean anything up first — that’s our job. Once we begin working together, we’ll need access to your bookkeeping software (or help getting it set up) and your relevant financial accounts, and we’ll walk you through exactly what’s needed, step by step.
-
No. Our monthly bookkeeping services are ongoing but not locked into a long-term contract. If you decide to end services, we simply ask for 30 days notice so we can wrap things up cleanly and hand off your records in good order.
We’d rather earn your business each month than tie you into something that isn’t working for you.
-
That depends on the service. Monthly bookkeeping clients receive their reports each month and are welcome to reach out by email anytime with questions. Standard and Premium package clients also include a quarterly check-in call built in.
For project work or one-time services, we stay in touch throughout the engagement to keep things moving and make sure nothing falls through the cracks.
You will never feel like you’re chasing us down. Clear, timely communication is something we take seriously.
-
Our office hours are Monday through Friday, 9:00 AM to 3:00 PM Eastern Time. Emails and text messages are welcome anytime and answered within one business day.
Appointments are self-scheduled through the online booking calendar, which always shows real-time availability — just pick a time that works for you. If you don’t see one that fits your schedule, reach out and we’ll do our best to find one.
We’re closed on weekends and on our observed holidays, which are listed on our Contact page.
-
Occasionally, and by request. If none of the times in the booking calendar work for you — including evenings or weekends — reach out and let us know. We can’t always accommodate every request, but we’ll do our best to find a time that works for both of us.
-
Monthly bookkeeping fees are invoiced on the 25th of each month for the following month’s service, so you have plenty of notice, and are due within 14 days of the invoice date. One-time services and project-based work are invoiced separately and due within 15 days of the invoice date.
Project work — such as catch-up bookkeeping, payroll reconciliation cleanup, or other one-time projects — begins with a $175 Scoping Assessment. That fee is credited in full toward your project, and you’ll see it applied on the estimate we provide after your session.
We accept payment by check or by credit and debit card. Payment information is stored securely and never shared.
-
We ask for at least 24 hours notice if you need to cancel or reschedule.
We understand that life happens, and we’ll always do our best to work with you if something unexpected comes up. Just reach out as soon as you can.

Yes. We’re a virtual bookkeeping practice, so most of our work is done remotely for small business owners across Pennsylvania and beyond. Where you’re located is rarely a barrier.
Virtual sessions are held by video call and work just as well as meeting in person — sometimes better, since you can share your screen and we can look at things together in real time. For clients in western Pennsylvania, in-person meetings can be arranged when it’s a good fit.

Yes. We take confidentiality seriously and handle all client financial information with care. Your data is never shared with third parties except as strictly necessary to perform your services — for example, accessing your accounting software.
Payments are processed through trusted, PCI-compliant payment systems that use industry-standard SSL encryption. Client records are stored securely and accessible only to authorized personnel.
If you have specific questions about how your information is handled, we’re happy to walk through it with you.
